What personal data we collect and why we collect it

Submission / Contact Forms

When you fill in a submission or contact form on our website, the information you enter is stored in our website database. A copy of your submission form entry will be emailed to you and to submissions@propellerartgallery.ca. By entering this information, we are able to process your submission. Following the exhibition, we will delete images and submission form data.

When you create an account or purchase art from our website, the information you enter is used to process your order. You can update this information on your Account page. We are not storing credit card information on our website. We use Stripe to accept payments.

Submitted Images

When you upload an image, it will be stored in our website’s media library and may be used online in galleries, slideshows, online store and social media posts related to the exhibition. Images may also be used in exhibition catalogues and print media for advertising the exhibition.

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website may be able to download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you are a member of Propeller, and you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser. When you log in to edit your membership profile, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you are a website administrator or contributor, when you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

Gravatar is a service that allows you to add your profile picture in website comments. An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. If you created a Gravatar, your profile picture is visible to the public in the context of your comment. You can log in to your Gravatar account and change or remove your image.

Usage Data is collected automatically when using the Website.

Usage Data may include information such as Your Device’s Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our website that you visit, the time and date of your visit, the time spent on those pages, unique device identifiers and other diagnostic data.

When you access the website by or through a mobile device, we may collect certain information automatically, including, but not limited to, the type of mobile device you use, your mobile device unique ID, the IP address of your mobile device, your mobile operating system, the type of mobile Internet browser you use, unique device identifiers and other diagnostic data.

Who we share your data with

If you request a password reset, your IP address will be included in the reset email.

Visitor comments are checked through an automated spam detection service.

We use Google Analytics to track how our website is being used. Google Analytics tracks data about your visit to our website by storing cookies on your devices. Google Analytics shares insights with us about how users interact with our website to help us improve our website, and advertising campaigns.

How long we retain your data

If you leave a comment, the comment and its metadata (e.g. the date, your name, your email address, which post you commented on) are retained indefinitely.

If you are a Propeller Members with a user profile on our website, we store your user profile information. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
